Conference halls: design and fit-out for clarity, interaction and streaming

A successful conference hall is one where attendees forget the technology because it simply works: every speaker is heard clearly, the screen is legible from every seat, the floor passes between platform and delegates without feedback or dropouts, and the event streams at a decent quality. At BoxTech O2mea we design and equip conference halls starting from the meetings they will host.

How we approach conference halls

The design is driven by the seating format: theatre style towards a platform, U-shape, a large round table or delegate rows with desks. Each format changes display and microphone positions, cable routes and lighting needs.

Conference acoustics favour short reverberation and low background noise, because speech is the content, and because microphones pick up room echo and HVAC noise and pass them to the stream.

International conferences add interpretation booths and language distribution, which have known dimension, isolation and ventilation requirements. We plan their positions early because they need a direct view of the platform and screens.

Engineering aspects

Reverberation

About 0.5–0.8 s depending on volume, for speech and streaming.

Background noise

Around NC 25–30 or lower.

Interpretation

Booths to the relevant ISO requirements (e.g. ISO 2603 for permanent booths).

Screen legibility

Display size and position from the furthest viewer and content type.

Applications and clients

  • Ministries and authorities
  • Large corporates
  • Hotels
  • Exhibition and convention centres

We deliver conference halls first in Saudi Arabia: Riyadh where we are based, then Jeddah and the Makkah region, Dammam and Khobar in the Eastern Province, Makkah and Madinah, and other regions. Beyond that we serve GCC countries (UAE, Qatar, Kuwait, Bahrain and Oman), aligning with each country’s local requirements, and we review international requests case by case.

Checklist before you start

  • Is the seating format and its flexibility defined?
  • Is reverberation short enough for microphones and streaming?
  • Is HVAC background noise low?
  • Are camera positions and face lighting planned?
  • Does the hall need interpretation or division?
  • Is the control interface simple for the operating team?

Common mistakes we help you avoid

  • An untreated glass room that makes video meetings tiring
  • Walls stopping at the suspended ceiling and weakening privacy
  • A screen too small for the room depth
  • Complex systems without training

Requirements in Saudi Arabia

For government and corporate conference halls we address privacy and information-security requirements in networked systems alongside general safety requirements, and select equipment compatible with the organisation’s approved platforms.

What you receive

  • An initial technical notes report after drawing review or site visit
  • A clear itemised scope of work
  • Approved drawings and specifications before construction
  • A programme linked to project stages
  • Records of concealed works and handover with documents and training

How to prepare your request

To speed up the study, prepare what you have: the architectural plan (PDF or CAD), building sections and clear heights, the expected audience size, the main uses in order of importance, photos of the existing site if any, and the target programme. The information need not be complete; helping you complete it is part of our work.

Frequently asked questions

What is the best seating layout for a conference hall?

It depends on the meeting; interactive discussion suits a U-shape or round table, presentations suit theatre rows.

Do we need simultaneous interpretation?

If the hall regularly hosts multilingual events, plan booths from the start; mobile booths can serve occasional use.

Can the hall be divided?

Yes, with acoustic operable walls and sound systems that work combined or separately.

Do you provide live streaming?

We build the infrastructure of cameras, audio and networks and integrate with streaming platforms.
